What happens to your documents when a data room closes

Every data room vendor, us included, will tell you how to get a room set up. Far fewer will tell you what happens at the other end: when the deal completes, when the trial lapses, when you stop paying, when you close the account.

That is the part worth knowing before you commit a transaction to someone's software, because it is the part you cannot renegotiate later. Here is how it works in ShareAndGo, and what to ask anyone else.

The trial ends, or you move to a smaller plan

Nothing is deleted the day your plan changes. When a trial or subscription ends the workspace continues on the free Personal plan and your documents stay where they are. What changes is access: the account holder keeps read and export of everything, one recipient keeps theirs, and other members and recipients stop. Rooms and storage above the free limits are archived rather than removed, and held for 30 days so you can export them or subscribe to bring them back, with a reminder 7 days before that window closes. A transaction that goes quiet for a month should not cost you the room it was run in.

You delete the account

Deletion is scheduled 30 days out rather than applied on the spot, and signing in during that window restores the account. After it runs it is real: the account, its documents and the stored files themselves are removed, not flagged as hidden. If colleagues are members of the same workspace, the workspace and its rooms survive and only your membership is removed. Deleting ShareAndGo does not touch your MyAndGo identity or any other product you use with it.

Common questions

What happens to my documents when a virtual data room is closed?

That depends entirely on the vendor, and it is the question worth asking before you start rather than at the end. In the general model, access is switched off when a room closes and the documents remain on the vendor's infrastructure under their retention policy until it expires. Getting a complete copy out is often a separate step, and in parts of the category an end-of-transaction archive is a priced deliverable rather than something you can do yourself.
